Administrative Assistant II (Business Functions)

Essential Duties:  Monitor and manage daily expenditures, coordinate purchasing, and monitor the operating budget; manage petty cash and place orders through Cardinal Station (People Soft), work with Purchasing, Accounts Payable, Accounts Receivable and the Provost’s Office to ensure the smooth functioning of the purchasing and budget management for SLIS.  Under the supervision of the Dean, manage student workers and adjunct hires – create faculty contracts, coordinate adjunct faculty hiring procedures.  Manage the daily operational needs of the School including coordinating with Facilities, management of business machines and supplies for SLIS and ordering supplies and coordinating with other divisions and departments in the building and ensuring business machines are functioning properly.  Other duties as assigned.

 

Qualifications:  Bachelor’s degree required.  Prior business management experience; two years of administrative experience managing HR and business functions preferably in an academic setting. Demonstrated experience with PeopleSoft and accounting rules.  Familiarity with computer-based accounting; purchasing and submission of forms for the physical plant and other functions of the School.  Familiarity with business machines, telephones, fax machines and copiers.  Prior experience with PeopleSoft preferred.  Good interpersonal skills a plus.  Strong analytical and mathematical ability required.  Knowledge of purchasing through use of PeopleSoft strongly preferred.  Ability to maintain confidentiality is essential.
