Position Summary:


The Catering Sales Team for Jackson 20, a Kimpton Restaurant, is looking for an energetic, personable, and service oriented person to come on board as our Catering Coordinator. This person will be able to handle and prioritize multiple tasks, be a forward thinker in anticipating needs of the clients and the catering sales team, and be willing deliver service excellence.

Position Summary: To provide administrative support for the Catering Sales operation. The position serves as a key liaison with clients and internal restaurant and hotel departments, by effectively maintaining the various communication documents. This is accomplished through basic administrative support, working on special projects as assigned and being proactive and responsive in a timely, friendly, tactful and professional manner. Additionally, the position is responsible for booking and coordinating the catering details for smaller groups.

Primary Job Responsibilities:
**Provides administrative support
**Handles incoming telephone calls, responding appropriately to guest queries
**Coordinate Delphi reports to include: BEO distribution, guarantee sheet and event summary
**Prepare Draft Weekly Parking Forecast and distribute final format.
**Prepare Draft BEO's for review through Delphi.
**Coordinate Thank you letters and Evaluation Forms.
**Create Account Master- Booking Masters as required.
**Maintain Filing System.
**Prepare VIP Reservation Forms.
**Prepare VIP Welcome Cards.
**Distribute Event Orders, Change Notices, Guarantee Sheets and other documents.
**Coordinate seasonal direct mailings.
**Maintain Vendor referral Files
**Maintain the Master Banquet Event Order Book.
**Print and assemble inquiry information packets for on-site appointments.
**Provide Weekly and Monthly summaries of outstanding Banquet Event Orders.
**Completes all special projects as assigned by the Director of Catering in a timely manner, while meeting the specific objectives of the project and performs all other duties as requested.
**Maintains accurate Delphi Merge forms.
**Orders office supplies
**Adheres to the "Sundown Rule" (returning ALL calls by 5PM the same day in the time zone of the customer) for all customer correspondence.
**Creates Daily Reader Board and door signage for events. Catering creates the reader board signs for Saturday, Sunday, and Monday.


Required Skills & Experience:


Must have 2-4 years experience in Hotel/Restaurant tBanquets/Catering preferably in an administrative capacity.
