NASA Federal – a large and financially sound Credit Union, seeks a highly motivated professional with a strong background in Benefits Administration to join our team in the Human Resources Department. Details are as follows:
SUMMARY
Processes new hires, transfers and promotions utilizing the Human Resources Information System (HRIS). Coordinates benefit enrollment for new hires and employees with status changes. This individual must have a working knowledge of the policies, procedures, and compliance issues relating to Human Resources. This individual must possess the ability to demonstrate flexibility in multi-tasking, manage high demands on their time and changing priorities, meet planned and unplanned deadlines, and have an aptitude for managing detail oriented work .
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Benefits:
- Processes benefit enrollments and changes.
- Conducts new hire employee orientation on the Credit Union’s benefit plans and ensures all new hires have enrolled or declined participation in eligible plans.
- Processes 401(k) loan requests and distribution requests.
- Answers employees’ questions on benefit plans/coverage in a timely manner.
- Administers Family & Medical Leave Act (FMLA) documentation and communication for the Credit Union.
- Processes COBRA benefits, working with third party vendor.
- Processes monthly invoices for insurance/benefits plans and reconciles invoices monthly, working with vendors and Finance staff as needed.
- Processes Workers’ Compensation claims and files reports.
- Processes short-term and long-term disability and long-term care benefit claims.
- Processes unemployment Requests for Information.
- Works with benefits providers.
- Works cooperatively with the HRMS Specialist during Open Enrollment. Supports annual Open Enrollment process to include employee communication, conducting educational sessions, monitoring enrollment statuses, and verifying all employees have enrolled or declined participation.
- Works cooperatively with the HRMS Specialist on annual Flu Shot/Health Fair.
- Cross-trains department employees on important Benefits/Onboarding Specialist job duties.
Onboarding/HRIS/Exit Process:
- Assembles, maintains and delivers new hire orientation packets.
- Prepares new-hire files, assembles entrance documents, and completes entrance procedures.
- Processes new employee set-ups such as: assigning Symitar ID posting numbers and sending related email, establishing records data in the HRIS and the Credit Union’s Intranet.
- Schedules the NASA FCU 401(k) orientation for new hires.
- Verifies required employment forms are received and completed accurately by new hires and current employees as needed.
- Processes employment status changes such as: transfers, promotions, and terminations
- Sends necessary data to Finance for payroll processing.
- Manages and approves self-service HRIS changes/requests.
- Generates resignation acceptance letters and completes exit procedures.
- Conducts exit interviews and reports results to AVP of Human Resources.
Records Management/Administrative:
- Maintains organized, accurate and complete personnel records. Performs quality control work on Recruiters’ new hire, transfer and promotion packages.
- Generates monthly tracking report for 401(k) plan to include percentage of employees enrolled, distributions and loan requests.
- Compiles and maintains benefit records for administrative documentation.
- Generates monthly report of FMLA hours used.
- Reviews HR’s ISCs daily and assigns requests appropriately within the HR Department.
- Files documents in employee files and other files as applicable.
- Examines employee files to answer inquiries and provides information to authorized persons.
- Completes employment verifications.
- Creates and maintains procedures for assigned job duties.
- As back-up on HRIS administration performs essential functions at least quarterly.
EDUCATION and/or EXPERIENCE
Bachelor's degree (B. A.) from four-year college or university or relevant HR certifications; minimum of three to five years benefits experience and proficiency with current HRIS software required; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees of the organization.
MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES
Ability to operate a: 10 key calculator, personal computer, facsimile machine, and copy machine. Functional in Microsoft Word, Excel, and Powerpoint.
